How to Organize Customer Conversations and Shared Files
Connect customer communication with the documents and records your team needs, while keeping ownership and access clear.
Customer work often spans messages, agreements, notes, and trackers. When these pieces are scattered across personal accounts and local folders, handoffs become fragile. A simple shared pattern makes it easier for the right teammate to understand what has happened.
Define the customer record
Decide which location is the source of truth for customer status and key documents. Use a consistent customer identifier in names and folders, and avoid copying sensitive details into places that do not need them. Keep correspondence in the appropriate mailbox or thread rather than forwarding whole histories widely.
Make ownership visible
Assign an owner for each active customer relationship and a backup for absences. Shared addresses can help distribute incoming requests, but the team still needs a process for claiming and closing work. Record the next action and due date in a shared tracker when several people need visibility.
Document useful handoffs
When a request changes hands, include a short summary, commitments already made, open questions, and links to relevant files. Confirm that the next person can access those files before relying on the handoff. Review access when the customer relationship ends or the team changes.
A consistent workflow improves continuity without requiring every employee to copy every message. Use Mail for the conversations, Drive for shared files, and a concise Doc or Sheet where the team needs durable context. Choose tools and permissions that fit the sensitivity of your customer information.
