A Thoughtful Onboarding Checklist for a New Teammate
Give new teammates a clear path to accounts, shared files, team knowledge, and the people who can help.
A good onboarding experience helps a new teammate contribute without guessing where work lives or whom to ask. Give them a small set of reliable starting points rather than a long list of disconnected links.
Prepare access before day one
Create the accounts and group memberships the person's role requires. Use an individual account rather than sharing credentials, and confirm how the teammate will set a password and recover access. Keep access limited to the work they need at the start; add permissions as responsibilities grow.
Show where work happens
Introduce the team's communication norms, shared drive structure, key documents, and recurring trackers. Explain which source is authoritative when similar copies exist. Share the team's naming and documentation conventions, and point out who owns each shared area.
Make the first week human
Assign a buddy or contact for practical questions. Give the new person a small, real task that demonstrates the workflow, then schedule a check-in to ask what was unclear. Review access after the role settles and remove temporary permissions that are no longer needed.
Onboarding is not complete when the invitation is sent. A short walkthrough of Mail, Drive, Docs, and Sheets can help a teammate understand how your organization uses its tools. Keep the checklist current and ask recent hires which steps made their first week easier.
